How to Create a Professional Invoice (and Let AI Do It For You)

The exact 3-step process — and how the AI workforce drafts, sends, and chases it for you.

Create an invoice in 3 steps

Under a minute in RacLink — the same steps work by hand too.

  1. 1

Add your business identity & client

Start with who's billing and who's paying. Add your logo and business details once, then pick the client — RacLink pulls contacts straight from your CRM, so names, companies, and addresses are filled in for you.

  2. 2

Add line items, taxes & discounts

List each product or service with a description, quantity, and rate. Apply tax rates and discounts where they belong — subtotals and the final amount due are calculated automatically, so the math is never wrong.

  3. 3

Download the PDF or email it — and track it

Export a clean, professional PDF, or send the invoice straight to your client by email without leaving the app. Every invoice shows a paid/unpaid status, so you always know exactly who still owes you.

Or let the AI do it

Invoicing questions, answered

What should a professional invoice include?

Every invoice should include your business name and contact details, your client's name and address, a unique invoice number, the issue date and due date, an itemized list of products or services with quantities and rates, any taxes or discounts, the total amount due, and your accepted payment methods.

How should I number my invoices?

Use a simple sequential system such as INV-0001, INV-0002, and never reuse a number. Many businesses add a year or client prefix (e.g. 2026-014) to make bookkeeping easier. RacLink assigns sequential invoice numbers automatically so you never send a duplicate.

What due date and payment terms should I set?

Net 30 (payment due within 30 days) is the most common term, while Net 15 or 'due on receipt' work well for smaller jobs. Whatever you choose, state the due date explicitly on the invoice, list accepted payment methods, and mention any late-payment policy up front.

Can AI create and send invoices for me?

Yes. In RacLink you can ask Hydra, the AI copilot, to draft an invoice from a closed deal in your CRM — it fills in the client, line items, and totals for you. You review, then send it by email and track whether it has been paid, all from one place.
